County Side

When are payments due?
Assessments are due on the 1st of each month.
Payments must be received by the Association no later than the 10th of the month.
Please allow up to three (3) business days for processing and delivery.
Payments received after the 10th are subject to a late fee.
How can I make a payment?

Please include your account number on all payments.
Why do Town-side homes pay less than County-side homes?
Town-side homes pay lower assessments because trash service is provided directly by the Town of Leesburg rather than through the Association.
Therefore, the cost is collected through Town taxes instead of HOA dues.
The Potomac Station Pool
How can I register for pool passes?
Residents can register for pool passes by visiting the Cell Badge website and completing the registration process.
Please refer to the Pool page under Amenities for step-by-step instructions.
I have completed registration. How do I gain access to the pool?
Pool passes are fully virtual through Cell Badge. Once registered, residents may check in at the lifeguard desk by providing their last name and address. The lifeguard will verify your household and allow entry.
I registered last year. Do I need to register again this year?
No. Residents who previously registered through Cell Badge do not need to register again each year. However, residents should log into their account to verify household information and update any outdated photos.
Use the “Registered Previously” option on the registration page to access your account.
What about guest passes?
Each household receives 10 free guest passes per pool season.
Guest passes are stored digitally in your Cell Badge account. To use a pass, inform the lifeguard at check-in that you have a guest.
Additional guest passes may be purchased in increments of 10 for $20.00 by contacting Management. Please email pscamanagement@potomacstation.org to arrange payment.
Note that Guest passes do not roll over to the following season.
What are the pool hours?

Can non-residents register to gain access to the pool?
No. The Potomac Station Pool is exclusively for Potomac Station residents and their registered guests.
Non-residents are not eligible for pool access.
Tennis Court and Basketball Courts
Where are the tennis and basketball courts located?
The tennis and basketball courts are located at:

What are the hours of the tennis courts?
The tennis courts are open daily from 6:00 AM to 9:00 PM.
After 9:00 PM, the lights of the court will automatically shut off and all players must exit the court.
No access to the courts is permitted beyond the approved operational hours of the tennis court.
How do I gain access to the tennis courts?
Residents must complete a Tennis Court Registration Form to receive a key fob.
The form can be found on the Amenities page under “Tennis Courts.”
Once submitted, Management will process the request and notify you when your fobs are ready for pickup at the clubhouse.
Can I reserve the tennis or basketball courts?
No. Both courts operate on a first-come, first-served basis.
Reservations are not permitted at this time.
Clubhouse Rentals
Can I rent the Potomac Station Clubhouse?
Clubhouse rentals are currently coming soon and are pending renovation completion.
Additional details will be provided once the facility becomes available for reservations.
Parking (Section 4 and 10 Only)
What are the Parking Rules for Potomac Station?
Residents living in the Section 4 or Section 10 areas of the community must display a valid vehicle decal to park within these areas between the hours of 10:00 PM and 6:00 AM.
Vehicles without a valid decal or registered guest permit are not permitted to park in these sections and are subject to be towed at the owner’s expense without warning.
Section 4 includes:

Section 10 includes:
Edmonton Ter, Legrace Ter, Twintree Ter, McArthur Ter, Doyle Ter, Planters Ter
How do I register for parking decals?
Residents must complete either the Section 4 or Section 10 registration form and submit it to Management.
Once processed, residents will be notified when their decals are ready for pickup.
How many parking decals can I receive per home?
Each household is allotted two (2) decals by default.
Section 4 Residents: May request 1 additional decal with an approved Exception Form.
Section 10 Residents: May request up to 2 additional decals with an approved Exception Form.
Contact Management at pscamanagement@potomacstation.org to obtain the required form.
Can I receive more decals than the allowed limit?
No. The Association does not issue additional decals beyond the established limits.
This ensures fair and equal parking access for all residents.
How do guest parking passes work?
Guest parking is managed through the Parking Boss system.
Residents must register guests online via the Parking Boss website using the unique access code provided with their decals.
If the access code is lost, contact Management for assistance.
When is parking enforcement active?
Parking enforcement is active nightly from 10:00 PM to 6:00 AM.
During enforcement hours, all vehicles parked in the community (excluding driveways and garages) must be properly registered.
Unregistered vehicles are subject to towing at the owner’s expense without warning.
My vehicle was towed. Who do I contact?
First, contact the local police department to confirm the vehicle was towed and not stolen.

Covenants and Exterior Modifications
I would like to make a change to my home. Does it require approval from the Covenants Committee?
Please refer to the Design Guidelines for specific requirements on whether your proposed modification requires approval.
As a general rule, any exterior modification to your lot requires approval from the Covenants Committee unless otherwise stated in the Design Guidelines.
How do I submit an application to the Covenants Committee?
Complete the Exterior Modification Application and submit it to Management at: pscamanagement@potomacstation.org
Management will forward your application to the Covenants Committee for review at its next scheduled meeting.

How often does the Covenants Committee meet?
The Covenants Committee meets on the following schedule:
October – March: Once per month
April – September: Twice per month
Trash Pickup
Who is my trash pickup provider?
Your trash provider depends on which side of the community you live in.
County-side residents: Bates Trucking
Town-side residents: Patriot Disposal

What days is trash picked up?

How do I arrange a bulk pickup for large items?
County-side residents: Contact Bates Trucking at 800-840-6454 before noon on Wednesday to schedule pickup for Thursday service.
Town-side residents: Contact Patriot Disposal at 703-771-6677 to arrange bulk pickup.
Please also refer to the Town of Leesburg website for additional bulk pickup guidelines.
When is yard waste picked up?
Yard waste pickup is available seasonally from spring through late fall.
County-side residents: Bates picks up yard waste on Wednesdays.
Town-side residents: Patriot Disposal picks up yard waste on Mondays.
During the off-season, yard waste is collected on regular recycling pickup days.
How do I replace a damaged trash bin?
County-side residents: Email the Management Team at pscamanagement@potomacstation.org with a photo of the damaged bin. Management will coordinate replacement with Bates Trucking.
Town-side residents: Contact Patriot Disposal directly at 703-771-6677 for replacement assistance.
Landscaping Services
Who provides landscaping services for Potomac Station?
The current landscaping provider for Potomac Station is BrightView Landscaping Services.
I have a concern about a tree in the common area. What should I do?
Please contact Management at pscamanagement@potomacstation.org with a photo of the tree and a description of your concern.
Management will forward the information to the landscaping contractor for inspection and follow-up.
Snow Removal
Does the Association provide snow removal services?
The Association only provides snow removal services for townhome sections of the community, as well as select common area sidewalks and trails.
The Association does not provide snow removal for single-family home streets.
These roads are maintained either by the Town of Leesburg (Town-side) or by VDOT (County-side). Please refer to the Snow Removal Services page under Resources for more information.
When do snow removal services begin?
Snow removal services begin once approximately two (2) inches of snow has accumulated on paved surfaces.
I live on a VDOT or Town-owned road and no plow has come yet. What should I do?
You may report unplowed roads to Management at pscamanagement@potomacstation.org Management can forward concerns to the appropriate agency (Town or VDOT).
However, the Association does not have control over Town or VDOT maintenance schedules and cannot guarantee service timing.
